Q: Can I sign up with my personal Gmail address?
No. Aspen CRM requires a business email address. Personal email domains (e.g., gmail.com, yahoo.com) are not accepted during registration.
Q: What's the difference between an Organization and an Instance?
Your Organization is your company's top-level account in Aspen CRM; it maps to your email domain. An Instance is a specific CRM deployment within your organization. You can have multiple instances. Think of it like having multiple projects under one company account.
Q: Can I use Aspen CRM on my phone?
Yes. Download the Aspen CRM app from the Apple App Store (iOS) or Google Play Store (Android). The mobile app supports Contacts, Accounts, and Opportunities. Custom objects and custom fields are not available on mobile.
Q: What can I do with Claude or Codex in Aspen CRM?
There are two ways to use Claude or Codex with Aspen CRM:
Claude Code (for admins): Customize your CRM instance by describing changes in natural language. For example, "Add a WhatsApp field to the Contact object."
Claude Cowork (for all users): Interact with your CRM data in natural language. For example, "Update the Acme opportunity to Closed Won" or "Who are my open opportunities this quarter?"
Q: How does Aspen CRM handle duplicate contacts?
When you create a new contact, Aspen CRM automatically checks for potential duplicates and shows them in the UI before you save. If duplicates exist, you can merge them; the merged record points to a "winner" contact, and related records are resolved at runtime. If you’ve set up Aspen Miner, Aspen CRM automatically creates and cleans your contacts so you don’t have to manage duplicates.
Q: What data does the Google Workspace integration sync?
When you connect Google Workspace, Aspen Miner engine automatically creates contacts and ingests email and calendar activity (inbound only; Aspen does not write data back to Gmail or Calendar). This keeps your CRM up to date without requiring manual data entry from your sales team.
